In most warehouses around Long Thanh and Nhon Trach, the real stock figure lives in three places at once: the accountant's spreadsheet, the storekeeper's notebook, and the forklift driver's memory. Those three are reconciled on stock-take day and they rarely agree. The consequences are familiar to anyone who runs a warehouse — a delivery date promised on stock that is not there, raw material quietly passing its expiry date in a corner bay, or a whole Sunday spent counting from scratch.
We build warehouse software around the process your warehouse already runs, rather than asking you to change how you work to suit a packaged product. Every receipt, issue, relocation and count is a single barcode or QR scan from a phone or a handheld terminal, so what is on screen is the position at that moment. Storage locations are addressed down to aisle, rack and level, so a new hire picks the right pallet without having to ask. Where goods are tracked by lot or expiry, the system proposes which lot to pick rather than relying on the picker to remember.
Reporting is written for the person who has to make a decision, not to fill a binder: stock by item and by lot, goods approaching expiry or ageing in place, turnover by product group, and the variance between the book figure and the counted one. Permissions are separated by role — storekeeper, accounting, management — so each person works on what they are accountable for, and every stock adjustment records who made it and when.
For a foreign-invested plant there are two questions beyond the software itself, and we answer both in writing before development starts: what happens to the data, and who owns the result. The system runs on your own server or your own cloud account, the source code is handed over at acceptance, and the interface can run bilingually in Vietnamese–English or Vietnamese–Chinese so that operators and expatriate managers read the same screen. Why build a WMS rather than buy an off-the-shelf one?
Off-the-shelf is cheaper and available immediately, so if your warehouse runs a conventional process it is the sensible choice and we will tell you so. Building pays off when something about your operation does not fit the packaged assumptions: an internal coding scheme, unusual lot or FEFO rules, an incoming quality-control step, or the need to integrate with a system you already depend on. What does it cost and how long does it take?
A core system — item master, receiving, issuing, relocation, stock takes, stock reporting — typically takes 8 to 14 weeks once the process is agreed, at a cost that scales with the number of workflows and the number of integration points. Treat any figure before a site survey as a planning range rather than a quote; we price line by line so you can defer whatever is not needed in the first phase.
Our warehouse has never used barcodes. Where do we start?
That is the normal starting point, not an obstacle. In the first phase we generate codes and print labels for the item master and for every storage location, usually zone by zone so the warehouse keeps operating during the changeover. On hardware, ordinary Android phones scan well enough for most sites; dedicated rugged terminals are worth it only at high scan volumes or in dusty or chilled environments.
